In this project, we successfully migrated a mid-sized company’s email infrastructure from Proton Mail to Office 365, addressing the need for a more scalable and feature-rich platform. The migration involved transferring a significant amount of critical business data, including emails, calendars, and contacts, and access permisions, while preserving the client’s complex folder structure.
We carefully managed the transition during off-hours to minimize downtime, ensuring that the entire process was completed over a weekend. Our meticulous approach and innovative solutions allowed us to retain all data integrity and deliver a smooth, seamless experience that met the client’s needs and expectations.
Challenge
The key challenge in this project was the complex migration from Proton Mail to Office 365, a task made difficult by Proton Mail’s non-standard folder structures and limited compatibility with typical migration tools. The client needed their intricate folder hierarchy preserved, along with all emails, calendar events, and contacts, which required a custom approach beyond standard practices.
Additionally, the migration had to be completed with minimal downtime during off-hours to avoid business disruption, demanding precise planning and execution. Despite these obstacles, our team successfully delivered a seamless transition, meeting all client requirements and ensuring a smooth continuation of their operations.
Approach
There are six main stages in this process:
Initial Setup and Domain Transfer
We began by securing admin access to both Proton Mail and Office 365. We then updated the DNS records to transfer the company’s domain, ensuring that all incoming emails were redirected to the new Office 365 accounts without any interruptions. Data Migration and Folder Structure Sync
Next, we created new email accounts on Office 365, carefully timing the process to avoid any downtime. We meticulously migrated all emails, preserving the exact folder structure from Proton Mail, and transferred calendar events and contact lists to the new platform.
Verification and Finalization
After the migration, we conducted thorough checks to ensure that all data had been accurately transferred and that the new accounts were fully functional. We completed the process over the weekend, allowing the company to resume normal operations on Monday without any disruptions.
