TransEdge is a comprehensive platform for managing transportation requests, customer relationships, billing, and real-time school route monitoring. It combines request management tools with ERP-style capabilities for storing client data, issuing invoices, and tracking financials.
The system is built for transport companies servicing school routes, offering tools for both operational control and customer engagement.

The core challenge of this project was to develop a unified digital platform for school-focused transportation providers that could handle route planning, client invoicing, and real-time child tracking through mobile apps.
The client was previously relying on a combination of spreadsheets, messaging apps, and manual invoicing — leading to scheduling errors, billing delays, and parent dissatisfaction due to lack of visibility during school runs.


The system needed to serve multiple user groups: dispatchers, drivers, school administrators, and parents – each with different workflows and technical comfort levels. A special focus was required to ensure children’s pickup/drop-off statuses were accurately recorded and made instantly visible to parents, without overloading drivers or increasing operational risk.

Approach 

We tackled the project through a six-stage implementation process:

Discovery and Architecture Planning

We began with on-site workshops and interviews to understand daily transport operations, client billing needs, and pain points in real-time tracking. Based on this, we designed a flexible, multi-tenant architecture that could support multiple roles, recurring schedules, billing models, and mobile interfaces — while remaining easy to use.

Trip Scheduling and Customer Management

A core module was developed to manage client accounts, intake transport requests, and create trip schedules. Dispatchers could assign routes, track student rosters, and adjust plans in real time. Exception handling (missed pickups, schedule changes, etc.) was included from the outset.

Billing and ERP Integration

An internal ERP-like engine was built to manage customer data, track service usage, and automate invoicing. The platform supports dynamic pricing, monthly and usage-based billing, and full audit trails on payment history — reducing the need for manual reconciliation.

Driver and Parent Mobile Apps

Two native mobile applications were developed:<br>- <strong>Driver App</strong>: Shows assigned routes, includes a student manifest, and allows boarding confirmations with time/location stamps.<br>- <strong>Parent App</strong>: Enables guardians to track the bus, receive push alerts on pickup/drop-off, and review their child’s transport log.<br>Simplicity, reliability, and privacy were prioritized in both apps.

Testing and Quality Assurance

We ran real-world scenario tests using demo school routes and mock student lists. All mobile-to-backend interactions were verified under offline/poor connectivity conditions. Feedback from pilot users helped optimize app flows and notifications before public rollout.

Rollout and Monitoring

A staged deployment was carried out, starting with a pilot school fleet and then gradually expanding. Monitoring dashboards were set up to track daily operations, usage, and feedback from all user groups to drive continuous improvement.

Execution

The execution strategy emphasized minimal disruption while replacing legacy tools. Key implementation points included:

Secure cloud hosting with high-availability architecture

Data encryption and access controls aligned with child safety requirements

Native Android/iOS apps published under white-labeled branding

Admin portal for trip oversight, reporting, and billing

Results

The project culminated in the delivery of a full-featured transportation management platform — code-named TransEdge — built specifically for school route operators.

Key Achievements:

Schedule Accuracy: 70% drop in route coordination errors post-launch

Parent Satisfaction: 95% of surveyed parents appreciated real-time tracking and notifications

Invoicing Speed: Invoices now generated automatically, reducing billing cycle time by 65%

Mobile Adoption: 85% of drivers and 90% of parents actively using the app daily

Operational Visibility: Dispatchers gained full oversight of live trips, student status, and exceptions
